Terms & Conditions of Service 

SCV Travel Service looks forward to the opportunity to act as your travel booking agent. We provide a travel planning and booking service to our customers and manage your trip plans from start to finish. These terms, conditions, and notices describe what to expect from us, as well as your obligations as a customer.

TRAVEL DESIGN FEE IS NON-REFUNDABLE AND NON-TRANSFERABLE. 

TRAVEL DESIGN FEE INCLUDES: research and planning, custom itinerary creation, booking management, a complete set of bound custom travel documents, traveler preparation assistance and a convenient mobile-app itinerary. 

 

LOYALTY PROGRAMS: DUE TO PACKAGE PRICING, SOME OR ALL OF YOUR LOYALTY PROGRAM REWARDS AND POINT ACCRUAL FOR AIR/HOTEL AND RENTAL CAR COMPANIES MAY NOT APPLY. 

 

WE WORK WITH NEGOTIATED AIR CONTRACTS. SOME AIRFARE CONTRACTS MAY PROHIBIT CABIN UPGRADES. 

PRE-ASSIGNED SEAT ASSIGNMENTS AND BAGGAGE FEES MAY NOT BE INCLUDED IN THE PRICE OF YOUR AIR TICKET. THERE WILL BE AN ADDITIONAL FEE FOR THESE SERVICES WHEN APPLICABLE.  

 

PRE-PAID HOTELS: CREDIT CARDS WILL BE REQUIRED AT CHECK-IN FOR INCIDENTAL EXPENSES. SOME LOCAL AND CITY ROOM/BED TAXES ARE NOT INCLUDED IN PRE-PAID HOTEL RATES. THESE TAXES WILL BE COLLECTED BY THE HOTEL PROPERTY UPON CHECKOUT. ALL HOTELS WILL REQUIRE YOU TO PRESENT YOUR PASSPORT AT CHECK-IN. 

 

PLEASE CHECK THE SPELLING OF YOUR NAMES. ALL NAMES MUST BE AN EXACT MATCH TO YOUR VALID U.S. PASSPORTS INCLUDING MIDDLE NAMES.

 

**PASSPORT VALIDITY** ALL PASSPORTS MUST BE VALID FOR AT LEAST SIX MONTHS FROM YOUR SCHEDULED RETURN DATE. 

 

**CRIMINAL HISTORY** PLEASE CHECK THE RULES & RESTRICTIONS FOR PAST CRIMINAL HISTORY (INCLUDING DUI) FOR YOUR TRAVEL DESTINATION(S) PRIOR TO MAKING A DEPOSIT ON YOUR VACATION.

WHAT YOU CAN EXPECT FROM US

SCV Travel Service is acting only as a travel booking agent for the client in acquiring transportation, hotel accommodations, cruises, sightseeing and other privileges, or services for the customer, and on the express condition that SCV Travel Service shall not be responsible for any loss, accident, injury, delay, defect, cost, omission or irregularity which may occur, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.

SCV Travel Service shall not be responsible for any penalties, fees, or charges that may occur due to modification or cancellation of a reservation – the customer assumes responsibility for these expenses. No refund can be made to the customer for unused services, unused transportation, unused sightseeing, unconsumed meals included in the package, (Breakfast, lunch, dinner, tea) or for voluntary modifications made by the customer.

We work with and sell a variety of different travel products from many service providers and suppliers. The customer will be entering a separate contract with the supplier or suppliers for their travel arrangements. Each of these suppliers has their own sets of terms and conditions that apply to the customer’s travel arrangements. These supplier terms and conditions are in addition to those of SCV Travel Service. It is important that the customer makes sure they understand all terms and conditions applicable to their travel arrangements.

SCV Travel Service reserves the right to charge a processing fee in the event of cancellation or refund. Vacation/trip prices are subject to change without notice due to currency fluctuations, tariff changes or increase in operational costs. In addition, group tours/packages are based on a minimum number of passengers traveling: if the number of passengers falls below the minimum required, a surcharge may be imposed on all passengers.

It is the customer’s responsibility to verify travel documents for accuracy immediately after receiving them. Your travel documents are valuable and cannot always be replaced. Any errors or discrepancies on the travel documents should be brought to the attention of SCV Travel Service immediately.

The payment of a deposit allows us to hold a reservation but does not guarantee the price. Often, these deposits are non-refundable and again, it is the customer’s responsibility to make sure they understand the terms and conditions of their vacation supplier. Once full payment is received, and the travel documents have been issued, the price can be guaranteed, subject to the terms and conditions of the supplier. SCV Travel Service will inform you of the date that full payment is due.

 

Once the payment is made in full, the conditions of the contract with the supplier may allow them to increase the price of your arrangements due to a variety of factors. As your travel booking agent, we will inform you of any such increases/changes as we become aware of them. By providing your credit card information, you are authorizing us to apply the payments necessary to the supplier/s.

The contract with your travel supplier may allow them to make changes or cancel a booking. As your travel booking agent, we will make you aware of any changes as we become aware of them. If we are made aware that your airline has made a significant schedule change before you leave the United States, we will alert you by email of this change. After you have left the United States, it is up to you, the traveler to confirm that your flights are operating as scheduled.

SCV Travel Service has no control over airline schedule changes or other supplier changes and does not accept responsibility or liability for any changes or costs that may be incurred because of these changes/cancellations.
Should the customer encounter a problem while traveling, please inform the relevant supplier (the hotel, cruise line, tour company, etc.) immediately.

SCV Travel Service recommends that customer’s research and review the U.S. Government’s warnings and advisories that apply to your destination prior to booking international travel. By offering travel products and services, we don’t represent that traveling to or in such destinations is without risk. Citizens of the United States. You should refer to the travel advice on the U.S. Department of State for all the countries on your itinerary. https://travel.state.gov

WHAT IS EXPECTED FROM YOU - THE CLIENT

SUPPLIER CANCEL PENALTIES – Please review the specific cancellation policies and penalties for each supplier associated with your vacation carefully.

PROOF OF IDENTITY - Proof of identity is required for all travel. Without proper identification, or passport and necessary visas you will not be permitted to depart. It is your responsibility to verify your necessary travel documents. The customer is responsible for fulfilling the passport, immigration, and visa requirements that apply to your travel itinerary. These details should be confirmed with the appropriate embassies and/or consulates. SCV Travel Service does n​​ot accept responsibility for customers who are unable to travel due to non-compliance with these requirements. https://travel.state.gov

 

TRAVELING WITH MINOR CHILDREN- if you are traveling with minor children without one or both of their biological parents, you will be required to show proof that you have permission from both parents to transport the children outside of The U.S. This is usually a notarized document. Please consult an attorney for advice on this matter. 

CRIMINAL HISTORY - Some countries may deny entry based on criminal history even for minor offenses such as DUI. Please consult the consulate of the country or countries you are visiting if you have a criminal record of any minor or major offenses. SCV Travel Service is not responsible for any costs associated with a trip cancellation or interruption based on denial of entry for a criminal record. 

VACCINATIONS - Some or all the countries on your trip may require vaccinations and it is the traveler's responsibility to ensure they have arranged those vaccinations prior to departure. Please consult with your medical provider on vaccinations. Your medical history may determine if you need certain vaccinations and only your health carel provider can help you determine which vaccinations are necessary based on your medical history. https://www.cdc.gov/

TRAVEL INSURANCE - We highly recommend travel insurance. There are different types of medical, baggage or trip cancellation insurance available from many suppliers and third-party travel insurance companies. Insurance coverage varies by provider and may not cover pre-existing conditions. SCV Travel Service can provide the customer information on the travel insurance options that are available, and customers can consult the insurance carriers directly for specific details. Trip insurance or waivers provided by the supplier may not offer supplier insolvency coverage

CHECK-IN - Minimum recommended check-in for domestic flights is two hours and three hours for international flights. Be prepared to present the required government issued ID and or passport at the ticket counter. During holidays and busier than normal travel times, it may be necessary to check-in earlier than the recommended time stated above. It is the customers responsibility to check such conditions prior to departing for the airport. 

RECONFIRMATION - Reconfirm your scheduled departure time at least twenty-four hours prior to your flight. Failure to use any reservations may result in automatic cancellation of all continuing and return reservations.

EXCURSION AND PROMOTIONAL FARES - Most discount fares involve certain restrictions. A change in carrier(s) flight(s), time(s) or routing(s) could result in a carrier demanding a full fare. Obtain agency or airline assistance before making changes. If your plans change in route, contact the travel agency or call the after-hours service number for your supplier for assistance. Additional charges may apply.


HOTELS - Most hotels in our vacation packages are reserved under a pre-paid reservation and supplier cancellation penalties apply. If we've booked a hotel-only reservation for you, please refer to the cancellation policy for your reservation. Early check-in and late check-out are not guaranteed. We will do our best to request early check-in whenever possible, however it is not guaranteed. In most circumstances, the hotel will store your luggage for you, fees may apply. 

AIR RESERVATIONS - Many airlines charge fees for a variety of options including baggage, seat assignment, services, and more. It is the responsibility of the customer to research and understand the fees associated with their airline. SCV Travel Service has no control over airline fees and is not responsible for any additional charges the customer incurs due to airline fees or extras. If you are at an airline ticket or passenger check-in counter with your confirmed travel documents and find that the airline shows no reservations for you, do not leave the counter. Check your travel documents, if your documents show an electronic ticket number and an OK status, the airline must accommodate you on that flight, or if that is not possible, they must either find a substitute flight or pay you denied boarding compensation. If necessary, ask to speak to a supervisor. 


DISCLAIMER OF LIABILITY 

SCV Travel Service is a travel agency acting as a mere agent for suppliers in selling travel-related services, or in accepting reservations or bookings for services that are not directly supplied by this travel agency (such as air and ground transportation, hotel accommodations, meals, tours, cruises, etc.). This agency, therefore, shall not be responsible for breach of contract of any intentional or careless actions or omissions on part of such suppliers, which result in any loss, damage, delay, or injury to you or your travel companions or group members. Unless the term "guaranteed" is specifically stated in writing on your tickets, invoice, or reservation itinerary, we do not guarantee any of such suppliers' rates, bookings, reservations, connections, scheduling, or handling of personal effects. SCV Travel Service shall not be responsible for any injuries, damages, death or losses caused to any traveler in connection with terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside the travel booking agent's control. The customer assumes complete and full responsibility for, and hereby releases the agent from any duty of, checking and verifying all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations, during the length of the proposed travel. For information concerning possible dangers at international destinations, contact the Travel Advisory Section of the U.S. State Department. For medical information, consult the Centers for Disease Control and Prevention. By embarking upon his/her travel, the customer voluntarily assumes all risks involved in such travel, whether expected or unexpected. The customer is hereby warned of such risks and is advised to obtain appropriate insurance coverage against them. The customer’s retention of tickets, reservations, or bookings after issuance shall constitute a consent to the above, and an agreement on his/her part to convey the contents hereto to his/her travel companions or group members.
